6 ways RingCentral improves my productivity

RingCentral.com is an internet phone service for small business.  With toll-free or local numbers, the services RingCentral provides help our virtual assistant business function professionally and cost-effectively.

  1. Toll free numbers.  I actually had a GotVmail account, and was able to port my GotVmail vanity number to RingCentral in a week’s time.  RingCentral allows you to search for toll free numbers based on your criteria, as well as purchase vanity numbers for a one time $30 charge.  RingCentral allows me to have one unified number that clients can call or fax to.  No more complicated remembering of multiple numbers for office, fax and mobile.
  2. Follow me services and answering rules.  RingCentral is programmed to find me wherever I am, if available.  It rings my office, mobile and Skype number to track me down on the fly.  I can also set up answering rules such as “all calls on weekends go automatically to voice mail,” or set rules about how certain callers should be handled, such as directing important callers directly to my mobile and personal callers directly to voice mail.   I can even temporarily turn on Do No Disturb when I’m on a conference call or teaching a class, which sends all callers directly to voice mail.
  3. Blocking of unwanted callers.  Like every business owner, I get my share of unsolicited commercial calls.  Once I’ve received an unwanted call, I review my call list online in a browser at RingCentral and block the number.  
  4. Call screening.  The auto-attendant asks each caller their name, which is announced to me when I receive a call.  I can then accept, reject or send the call straight to voice mail.
  5. Real time call control.  If a caller is sent to voice mail, I can listen in to hear the message as the caller is recording it.  That allows me to jump in and go live on the fly with the call if it is a particularly urgent matter.
  6. Notification of messages.  RingCentral lets me know by SMS message as well as e-mail that I’ve received a voice mail or fax.  The fax or voice mail is embedded right in my e-mail message, so I can instantly play it.  For those times when you need to save a message for record keeping, this is very handy.  It’s also easy to forward a copy of the message to a client if they need to hear details that a client left.
